Evaluations (Trials)

Yes. All self-managed Server / Data Center products can be trialed for 14 days before purchase, allowing you to see and use Crossbill products before you buy. The trials are fully functional; what you use during your trial is what you'll get when you buy. You can obtain an ebaluation (trial) license as part of a product's initial configuration. Please refer to initial configuration section of a product's documentation.

New Server / Data Center evaluation licenses can be generated using Licenses page at crossbillsoftware.com. After logging in, select New Evaluation License, followed by the product you'd like to try. Please note, you'll need your Server ID to generate a trial license key.

Apply for Community licenses by sending a message to sales@crossbill.pro. You will be asked to complete our Community license Request Form. For more information about how we determine eligibility, see next section.

Crossbill use a partner's technology platform to verify that applying organizations meet the eligibility criteria. 

To be eligible for a Community license, you must be recognized as a nonprofit organization in the country in which you are registered, in accordance with the specific eligibility criteria for that country. In addition, Community licenses are only available to non-profit organizations that are non-governmental, non-commercial in nature and non-political. For more information about ineligible organizations, click Ineligible organization types below.

When a Community license application is completed and submitted, the information is sent to our partner for thorough vetting against our Community license eligibility guidelines. The automated service reviews the information provided, as well as public information about your organization, to ensure that your organization is eligible for a Community license.

We also verifies that your organization:

  • Does not operate at the expense of the environment, human rights or dignity, or public safety
  • Does not advocate for or against any political party, candidate, or campaign
  • Does not discriminate against, marginalize or exclude any person or group on the basis of personal characteristics or attributes

Please note that all new and existing Community license applicants are reviewed against the same qualification standards and guidelines. Please be aware that we may need additional information from you in order to continue offering discounted licensing.

Business, Employment and Professional Associations, specifically

  • Professional Organizations & Societies - Organizations that seek to further a particular profession and the interests of individuals and organizations engaged in that profession e.g. professional associations or institutions
  • Mutual Organizations - Organizations owned exclusively by its customers/members and is run for their benefit e.g. unions, social clubs
  • Fraternities/Sororities - Associations of students that are chapters of national or international organisations, and as part of their activities they may participate in community improvement or charitable projects. Sororities, fraternities, and other honorary societies

Health & Medicine

  • Public Hospital - A hospital which is owned by the government and funded by them
  • NHS Charity Trust - NHS charity linked to a specific NHS organisation via its objects and trustees (not including charities that aim to support work of NHS)
  • Private Hospital - A hospital not owned by the government, where funding is usually by patients themselves or insurers
  • Speciality Hospitals - A hospital that provides a limited range and/or focused services to treat medical conditions that require a particular subset of skills and/or technology. e.g. eye hospital, orthopaedic hospital
  • Health insurance - Organizations that provide health and medical insurance to individuals or groups
  • Group health plans - Organizations whereby employer or a group sponsor that provide healthcare to members and their families

Law, Advocacy & Politics

We do not offer special pricing to governmental entities – all governmental entities are required to purchase commercial licenses or subscriptions. For United States Federal, State, and Local governmental entities, we work with Crossbill's Government Aggregator, Carahsoft.

  • Political Activity - Organizations that engage in the political process and actively support the success or failure of a political party/group/office/candidate
  • Governmental - A Government or Government-controlled organisation or entity. Receiving funding from Government does not equate to being a government controlled entity.

Religion

  • Place of worship - Buildings dedicated to religious worship e.g. church, synagogue, mosque
  • Religious Activity - Organizations that are faith based and communicate any religious information or beliefs, or in any way promote any religion or religious beliefs
  • Religious Institution - Organizations that exist to support and manage the practice of a specific set of religious beliefs
  • Religious Education - Organizations focused on educating people about religious beliefs
  • Religious Advocacy - Organizations focused on influencing policy within Religious and Spiritual matters

Schools & Colleges

  • Preschool, Nursery & Kindergarten - Organizations set up as separately to a formal school and that provide foundation level learning and care for children aged 0 - 5 years old
  • Primary, Elementary & K-12 School - Organizations that provide a formal education to children from 5 years old to 12 years old
  • Secondary & High School - Organizations that provide a formal education to children from beginning with the next grade following primary school, usually 12 - 18 years old
  • Higher Education - Organizations set up to provide a formal education to pupils after secondary/high school
  • Vocational and Technical School - Organization set up as specific trade high schools or vocational centers that provide formal training required to complete tasks of a particular and specific job
  • Alumni group - Organizations comprised of graduates from a specific educational institute, and they support the institute through financial support, recruiting students, or other promotional activities.
  • Parent Teacher Association - Organizations comprised of parents, and/or parents and teachers and others in the community who are involved with helping the school district with the end goal of helping better conditions for the kids attending the school(s).
  • Graduate & Professional School - Separately incorporated postsecondary educational institutions providing opportunities for people who have completed their undergraduate education to receive advanced, postgraduate training in a professional field leading to a masters degree or doctorate
  • University - A high level educational institution providing a formal education to pupils after secondary/high school, that awards academic degrees, masters and doctorates
  • Undergraduate college - Organizations that offer formal college level courses to pupils after they've conducted their secondary education and prior to postgraduate education i.e. university
  • Charter school - A school that receives government funding but operates independently of the established state school system in which it is located

Sports, Recreation & Social

  • Professional Sports - Organizations focused on supporting professional sports or sports players i.e. those that receive payment for their performance

Philanthropy, Volunteering & Grantmaking

  • Endowment Funds - An investment portfolio where the initial money is provided by donations to a foundation. These types of Funds are established to fund charitable and nonprofit institutions such as churches, hospital and universities.

Qualifying academic institutions include:

  • Educational institutions: Collegiate vocational schools, junior colleges, colleges, universities, or scientific or technical schools that are accredited by a national accrediting agency.
  • Administrative offices & boards of education: Provincial, district, regional, national, and state administrative offices and authorities of the Educational Institutions defined above.
  • K-12 administrative offices: K-12 educational institutions for administrative office use only (i.e., no K-12 student data may be submitted to the products or services).

  • Collegiate-level or higher home-school programs
  • Research institutes that are affiliated with an accredited university
  • Teaching hospitals that are affiliated with an accredited university

Your open source project must meet the following criteria to be approved:

  • The project is licensed under a license approved by the Open Source Initiative.
  • The project source code is available for download.
  • Your open source project has a publicly accessible website.
  • Crossbill's software is accessible to the public.

Crossbill does not offer special pricing for unaffiliated resellers. Special pricing is available for Corporate Resellers and official Crossbill Partners. 

Crossbill verifies non-profit, student and teacher, and academic institution eligibility using partner's technological platform, yet determines qualification for discounted licenses at its sole discretion. We reserve the right to grant or deny an individual or organization’s application for a discounted license, or to discontinue an active discounted license, at any time, for any reason, and to supplement or amend our Community, Academic, Classroom and Open Source license eligibility guidelines at any time.

Ordering

Server / Data Center products can be quoted and purchased directly from our online shopping cart.

If you're a reseller, check the box marked "I am a reseller purchasing on behalf of my customer" during the checkout process.

We can generate quotes in US dollars (USD), Great British Pound (GBP), and Euro (EUR), however, GBP and EUR are reserved for customers in United Kingdom and Europe, respectively. 

We calculate all the prices in a currency other than USD using an exchange rate that includes a currency fluctuation margin.

Crossbill (Graperis Pty Ltd) is an Australia-based company. As such, Crossbill must collect GST from all Australian-based customers. Crossbill will collect VAT from customers within the European Union who have not supplied a valid VAT ID, in accordance with EU tax legislation. 

Tax Treaties: As an Australian company, Crossbill is exempt from withholding taxes in some countries like the United States. For compliance reasons, U.S. customers may wish to obtain a copy of the W-8BEN-E form; or for non-U.S. customers, the Australian Taxation Office Certificate of Residency for Crossbill (Graperis Pty Ltd).

Prices may be affected by organizations based in countries that do not have an income tax treaty with Australia and are therefore required to impose withholding taxes. If this applies to you, Australian taxation law requires us to provide proof of tax withheld. As such, we will require documentation from you which states the amount of tax withheld (your tax office should be able to supply the relevant documents). Contact our Customer Advocate Team to discuss the potential implications.

Payments & Refunds

Crossbill accepts the following payment methods:

Credit card  — (MasterCard, Visa, or American Express) via our payment page. All payments are processed by the payment processor Stripe.

PayPal, bank transfer or other payment method supported by Stripe  — we can issue and e-mail an invoice via the payment processor Stripe. Once the invoice is issued you can visit a Stipe payment page to use a payment method supported by Stripe. For example, pay with PayPal.

Server / Data Center licenses will be available in a Licenses page as soon as payment is processed.

Server / Data Center licenses can be refunded within 30 days of the original purchase.

You'll continue to receive Crossbill's standard support.

Software Updates

Our products continue to evolve via frequent and significant updates. If you're after new features and ever-improving usability, active software maintenance ensures you continue to receive all the latest software updates*. 

*Cloud does not require manual software updates, while Server / Data Center installations do.

Peace of mind

If your team depends on our products for many of its day-to-day activities, having a guaranteed direct line of contact with a committed support team offers fantastic peace of mind.

Please note: An active subscription is required to receive product updates and technical support.

  • New license: Your 12/24-month software maintenance period will commence from the date of payment confirmation.
  • Upgrade: Software maintenance will commence from the date of payment confirmation.
  • Renewal: Software maintenance will commence from the expiration date of the previous maintenance period, regardless of when the maintenance renewal was purchased.

For Server / Data Center subscriptions, after the first 12/24 months, your software maintenance will expire and your installation will become read-only. To ensure that your Data Center maintenance doesn't lapse, enroll in automatic renewals at Licenses page.

Please note: Maintenance renewals commence from the date the previous maintenance period expires, regardless of when the maintenance renewal was purchased.

Server / Data Center subscriptions can be renewed at Licenses page. While you can purchase a renewal online yourself, an advocate may be in touch within 90 days of your subscription expiration to discuss renewal options.

Licensing

When you purchase a new self-managed license or renew/upgrade an existing self-managed license, it is added to the billing & technical contact's Licenses page

Managing My Account

All crossbillsoftware.com accounts use your email address for the username. You can update your email address via the My Profile page. 

If you have licenses attached to your existing account, they will be transferred over to your new email address after a successful change. 

To change or reset your password, follow these directions:

  1. Visit the Forgot Password page.
  2. Enter the email address associated with your account, then click Restore button.
  3. We'll send you an email with a link that enables you to reset your password.

Designated billing and technical contacts can log into crossbillsoftware.com and download invoices from Payment History page.

The billing and technical contacts for a license or subscription have access to update the payment details on file, view, and pay invoices, add additional billing or technical contacts, raise Support requests, generate trial licenses, and more. 

The billing and technical contacts are viewed as the product owners and have the authority to request changes to the license/subscription.

Sure! If you've confirmed that all of your licenses have been moved to another billing and technical contact, you can close your account by contacting us

Customer Terms

Within Crossbill's current price structure, we're unable to make any changes to our standard customer terms. If you consider our pricing model and the costs of creating and managing individual agreements with each of our customers, you can begin to understand our position. Maintaining standard terms with all of our customers allows us to focus our resources on meeting our obligations under these agreements. Do keep in mind of course that our customer terms have been very carefully authored to be fair to both you and us.

Crossbill lists a small number of our customers on our website as examples of organizations using our products. All other disclosures about our customers (customer testimonials, case studies, etc.) are done so only after collaborating with and obtaining permission from our customers.

If you don't want us to mention your company name at all, just contact our Customer Advocate Team and we'll add you to our list of companies requesting not to be party to any disclosures or forms of publicity (including our customer lists on our website).

Privacy

GDPR stands for the General Data Protection Regulation and came into effect as on May 25th, 2018. GDPR replaces national privacy and security laws that previously existed within the EU with a single, comprehensive EU-wide law that governs the use, sharing, transfer and processing of any personal data that originates from the EU. 

Our policy is to respect all laws that apply to our business and this includes GDPR. We also appreciate that our customers have requirements under GDPR that are directly impacted by their use of Crossbill products and services. We are committed to helping our customers stay in compliance with GDPR and their local requirements. 

In addition, here are a few things that Crossbill is committed to doing to ensure our compliance with GDPR and that of our customers: 

  • Ensuring our products are ISO 27001 certification ready.
  • Complying with the latest regulations regarding international data transfers outside of the EU, UK, and Switzerland
  • Crossbill commits to follow appropriate security measures and precautions in accordance with GDPR. 
  • Crossbill will assist with notifying regulators of breaches and promptly communicating any breaches to customers and users. 
  • We will ensure that employees authorized to process personal data have committed to confidentiality. 
  • We will hold any subprocessors that handle personal data, including our data center partners, to the same data management, security, and privacy practices and standards to which we hold ourselves. 
  • Crossbill commits to carrying out data impact assessments and consulting with EU regulators where a data impact assessment indicates a high risk associated with processing without an appropriate mitigating strategy.
  • Where appropriate, we will offer contractual language documenting our commitments to our customers to support their GDPR obligations.
  • Crossbill will assist our customers, insofar as possible, to respond to data subject requests our customers may receive under the GDPR. 

Yes. We process personal data to provide our products and services and for other purposes as outlined in the applicable Privacy Policy for the products you are using or accessing.

Yes! Crossbill staff that access and process Crossbill customer personal data are trained on how to handle it and are bound to maintain its confidentiality and security.

Our goal is to provide our customers with secure, fast, and reliable services. As a provider of global services, we run our services with common operational practices and features across multiple jurisdictions. Today, we store data in data centers located in the UK. 

Please note if you use a Server / Data Center version of our products, we do not host, store, transmit, receive or collect information about you (including your content), except in limited cases.

You have certain choices available to you when it comes to your information, which varies depending on where you are located, the products you use, and how they're configured.

If you use a Server / Data Center version of our products, we do not host, store, transmit, receive or collect information about you (including your content), except in limited cases, where permitted by your administrator.

We have implemented organizational and technical safeguards to secure our users' data, in compliance with GDPR requirements. Our users' personal data is pseudonymized when stored, and further encrypted if it is being transferred.

Third-party app policies and procedures are not controlled by Crossbill, and our Privacy Policy does not cover how third-party apps use your information. We encourage you to review the privacy policies of third parties before connecting to or using their applications or services to learn more about their privacy and information handling practices.
